Governed AI operations

The name matters less than what the workflow can do.

An automation can follow a defined rule. An AI-enabled workflow may interpret context, generate content, recommend an action, or interact with systems in ways that are less predictable. The label matters less than what the workflow can access, what it can do, who relies on the result, and what happens when it is wrong.

A practical comparison

Deterministic automation

An automation generally follows pre-defined logic. Governance still matters, especially when the workflow handles important information or changes a system. The key questions are whether the rule is correct, who can change it, what records exist, and how failures are detected and corrected.

AI-enabled workflow

An AI-enabled workflow may produce different outputs for similar inputs, interpret unstructured information, or support choices that need context. It may require stronger testing, output review, information controls, logging, escalation, and change management because the behavior and consequences can vary.

Agentic behavior

When a workflow can select among actions, call connected systems, or continue through multiple steps, the organization should define permissions, action boundaries, approval points, monitoring, intervention authority, and stop conditions before operation. A workflow does not become accountable because it can act.

Five questions that determine the control level

  1. What information can the workflow read, retain, transmit, or create?
  2. Can it recommend, prepare, approve, change, or send something?
  3. Who reviews the output or intervenes when a result is unexpected?
  4. What record will show the context, action, result, exception, and escalation?
  5. What changes require retesting, approval, constraint, pause, or retirement?

Human in the loop and human on the loop

A human in the loop has a defined role in a particular decision or action. A human on the loop has defined oversight and authority to intervene. Both patterns need a named accountable person, clear information and action boundaries, and a practical way to detect and respond to exceptions.

eTrepid's role

Within an agreed scope, eTrepid can help translate a proposed workflow into an operating model with defined purpose, authority, access, approvals, evidence, and change controls. The client retains accountability for its business decisions, information, approvals, risk acceptance, and use of outputs. Where an engagement includes AIBOS, Auctoric owns the platform, intellectual property, licensing controls, core security architecture, and roadmap; eTrepid provides the separately contracted client-service scope.

Sources and limits

This candidate uses the NIST AI RMF as voluntary organizing guidance. It does not classify a workflow for a specific legal, regulatory, employment, financial, medical, procurement, or security purpose. It does not establish that any AI-enabled workflow is safe, compliant, or appropriate for a particular use.
